Dealership photo workflow: from upload to listing

Build a clear dealership photo workflow for selection, editing, review and publication. Measure waiting time and prevent images being assigned to the wrong car.

An efficient dealership photo workflow connects capture, editing and publication without losing files or ownership. Keep an identifiable folder for each vehicle and move images to publication only after someone checks their content.

Use clear statuses

Organise files into stages such as “source”, “awaiting review” and “approved”. A successfully generated result is not yet an approved advertising photograph. Treat those as separate decisions.

Use an internal stock identifier in filenames. Registration numbers can change; a stable reference helps prevent mixing images of similar cars.

A practical sequence

  1. Capture the complete series and check sharpness.
  2. Select usable files and remove duplicates.
  3. Review crops and choose a consistent setting.
  4. Start processing and follow individual results.
  5. Compare each image with its source.
  6. Download approved results.
  7. Check ordering and presentation in the listing.

Make rejections specific

Record which image failed and why. “Rear wheel changed” is more useful than “the series looks wrong”. Retain already approved files so one issue does not automatically trigger a complete rerun.

If the source lacks necessary information, return the task to photography.

Measure active and waiting time separately

Screen time uses staff capacity; background processing may overlap with other work. Record both alongside usable images and retries.

Test the process with a colleague who has not seen the instructions. Any point of confusion often exposes a missing handover or unclear responsibility.
